Frequently asked questions

Answers to help you choose, configure and use Voxline.

How it works

Do I need to keep my voicemail or my “press 1, press 2” menu?

No. The receptionist understands what the caller says and handles their request herself: appointments, information, emergencies or messages. If your practice wants to keep its menu, one option can forward callers to Voxline, but it is not necessary.

How it works
Does Voxline answer all my calls or only the ones I miss?

You choose during configuration. Either Voxline answers all calls and transfers those that need you. Or your team answers first and Voxline only takes unanswered calls, after four rings, when the line is busy or outside opening hours.

How it works
Does it work with my calendar?

Yes. Voxline writes directly to Google Calendar. If you use another tool, Voxline sends every appointment request to your front desk by SMS and email, and you enter it. The Agenda and Team plans include appointment booking; the Line plan takes messages.

See pricing
Where are call recordings and data stored?

Voxline has no access to any patient or customer record: Voxline only knows your sheet. Call recording can be disabled at your request. Transcripts and summaries are kept for 90 days and then deleted. Data is hosted by our technical providers; details are set out in our terms.

See terms
Does Voxline work in German or English?

French and English from the Agenda plan, with automatic detection of the caller's language. Team adds German as a third language. The Line plan answers in French.

How it works
How is this different from a human answering service?

A human answering service picks up at fixed hours and usually bills per call. Voxline answers 24 hours a day, weekends included, for a fixed monthly price, and knows your sheet by heart. On the other hand, Voxline doesn't replace an assistant for anything that isn't the phone.

How it works
Can Voxline transfer a call?

Yes, live. For the situations you define during setup, Voxline passes the call to you or the person on duty while the caller is still on the line. If nobody answers, Voxline returns to the caller, takes the message and sends you an immediate SMS. That is what sets Voxline apart from voicemail: an urgent customer speaks to you instead of leaving a message.

Who it’s for
Do my customers know they are speaking to a virtual assistant?

Yes. Voxline introduces itself as your business’s assistant, never as a human. If the caller asks for a person, it takes a message and sends you their contact details.

How it works
What does it do in an emergency?

It follows your instructions: recognised emergencies are transferred to the designated mobile or directed to the emergency number in your profile. It never diagnoses.

Who it’s for
What does it do if it does not understand?

It asks the caller to clarify. If the request remains outside your profile’s scope, it takes a message and contact details so your team can call back, without inventing an answer.

Who it’s for
What if I don't use Google Calendar?

Two cases. If you have no digital calendar, Voxline creates one for you during setup, free of charge, on your phone: that is where appointments are entered. If you use booking software that does not allow outside entries, Voxline takes a provisional appointment, sends it to you by SMS and email, and you confirm it in your own tool. In both cases, only one calendar is authoritative: yours.

See pricing
Is it artificial intelligence?

Yes. Voxline is an automated assistant that holds a conversation, understands what it is told and follows your rules. It makes no secret of this: if a caller asks whether they are speaking to a person, it replies that it is an automated assistant and offers to arrange a callback.

How it works

Your business

What is a voice receptionist or voice agent for a medical practice?

It's a service that answers the practice's phone for you, with a natural voice, understands what the patient wants, and acts on it: booking in the calendar, answering common questions, taking a message, transferring an emergency. Voxline installs this service on your existing line, with no change of number, for small businesses in French-speaking Switzerland.

Who it’s for
What happens in a medical emergency on the phone?

Voxline follows the instructions you give it during setup. The situations you consider urgent (severe toothache, an abscess, a tooth broken in an accident, a patient who cannot wait any longer) are transferred directly to the on-call practitioner; serious cases are given the emergency number. Voxline listens to what the caller describes, asks one or two questions if it is unclear, then decides. It never makes a diagnosis.

Who it’s for
How many calls does a practice or a tradesperson miss per week?

A one- or two-practitioner healthcare practice that closes its line at noon and in the evening commonly misses between five and fifteen calls a week; a tradesperson alone on site often misses more. These are orders of magnitude observed during installations, not official statistics: you find out your real number in the first week, in the evening summary.

Who it’s for
Is it suitable for my business?

Voxline is configured around your profile and rules. Practices, building trades, hair salons, beauty institutes and lessons, coaching and schools each have their own situations and limits. If your activity is not listed, tell us what you do.

Who it’s for
What does Voxline never do?

Voxline gives no diagnosis or medical or technical advice, no price outside your sheet, and makes no decisions for you. Voxline makes nothing up: anything not on its sheet is written down and passed on to you.

Who it’s for
Can it give my prices?

Yes, but only the prices listed in your profile. Quotes and unlisted prices remain your responsibility; Voxline sends you the request and callback details.

Who it’s for
Which businesses is Voxline for?

Practices, building trades, hair salons, beauty institutes, lessons, coaching and schools: Voxline answers according to your services, hours and rules. Find situations, capabilities and limits for each family on Who it’s for.

At 80% of your minutes, you receive an email. Nothing is cut off: the first overage is free. After that, you add the 150-minute option or move to the next plan.

See pricing
What do the minutes mean?

The minutes in your plan are the minutes of calls received by Voxline on your line, from the first second of the conversation to the end of the call. A two-minute call counts as two minutes.

See pricing
Can I change my plan?

On monthly billing, you can move up or down to another plan whenever you like, effective the following month. On annual billing, you can move to a higher plan at any time. During the first 60 days, you can also return to monthly billing: elapsed months are recalculated at the monthly rate and the balance is refunded.
